Summary:
The Executive Assistant provides high-level administrative and executive support to a senior leader. This role is responsible for managing the executive’s calendar, coordinating meetings and travel, handling sensitive information, recording and writing minutes of meetings, and serving as a trusted partner and gatekeeper. The Executive Assistant must possess exceptional organizational, communication, and problem-solving skills, with proficiency in Amharic, and English to ensure the efficient operation of the executive office.
Responsibilities:
- Manage scheduling and calendar for the executive.
- Draft, review, and send communications on behalf of the executive.
- Organize and prepare for meetings, including logistics and document preparation.
- Attend meetings and accurately record and prepare minutes of meetings for official record and follow-up.
- Answer and respond to phone calls and relay messages to the executive.
- Prioritize emails and respond when required.
- Coordinate travel arrangements and itineraries.
- Maintain organized records, files, and important documents.
- Perform any other duties assigned by the executive.
Location: Deborah Foundation, Head Office, Bole behind Sur construction
Qualifications:
- Bachelor’s degree in any field.
- Minimum 1 year of experience as an Executive Assistant or in a similar senior administrative role.
- Proven proficiency in speaking, reading, and writing Amharic and English (Afaan Oromo is an advantage).
- Demonstrated ability to handle highly sensitive and confidential information with discretion.
- Strong verbal and written communication skills.
- Excellent organizational and project management skills with the ability to multitask and meet deadlines.
- Proficiency in office productivity tools, calendar management, and administrative technologies.
- Adaptable, proactive, and able to work independently in a fast-paced environment.
- Strong problem-solving and decision-making abilities.
