Purpose of the job
The system and Document Officer is to manage, organize, and control the entire lifecycle of an organization’s digital and physical records, ensuring information is accurate, secure, compliant with standards, and easily accessible. Act as a bridge between technical teams and operational staff to streamline processes, improve efficiency and support decision making through well-maintained documentation.
Key Responsibilities
Technical drafting: -prepare forms of documentation including policies, manuals, and procedures, working instructions, standard operation procedures and charts for functional departments.
Maintain a centralized document control system (physical and/or electronic)
Register, classify and archive incoming and outgoing documents
Ensure proper document numbering, version control, and formatting workflow optimization.
Collaborate with each functional Department managers and teams, top management to automate document review cycles, overall development of the QMS framework and electronic signatures.
Issue controlled copies of documents to relevant departments.
Track document distribution and ensure only current versions are in use
Withdraw obsolete documents and maintain archive records.
Compliance and quality assurance
Ensure documentation complies with company procedures and standards.
Support internal and external audits
Maintain document control procedures in line with ISO requirements
Maintain logs for document revision, approvals, and distribution
Ensure safety storage and easy retrieval of records
Protect confidential and sensitive documents
CAPA management: - track corrective and preventive actions (CAPA) to ensure documentation is upgraded following a non-conformance

Education:
- BSC in chemical engineering, applied chemistry, food process engineering and food science back ground.
Experience:
- 5 years and above experience in documentation process for the system and Documentation system (integration management system)
